Executive Committee Meeting Minutes
Tuesday, May 5, 2020
I.               Call to order
Diane Kirksey called to order the executive committee meeting of the Unitarian Universalist Fellowship of Lafayette at 6:05 pm on Tuesday, May 5, 2020 via Zoom.
II.             Roll call
The following persons were present: Diane Kirksey, Hunter Miller, Emily Carline, Bruce Snow, Jackie Phelps, Mary Guirard, and Mike Waldon.
III.           Approval of minutes from last meeting
Minutes from April 26, 2020 were approved by Bruce Snow and seconded by Jackie Phelps. The motion carried.
IV.           Officer Reports:
a.     Vice President: Hunter Miller expressed his vision for the congregation. He stated that we need to return our focus to the core efforts of the fellowship such as membership and services. He stated that if we can get more people involved in those things first and make them strong, our congregation can grow.
b.     Secretary: Emily Carline expressed her vision for the congregation. She will work together with Diane to define processes for communication and change, and the board members have agreed that they will either follow these processes or request an exception.
c.     Treasurer: Bruce Snow expressed his vision for the congregation. He is committed to making sure the fellowship is in good financial standing. We are 12% behind in our pledges compared to last year. He has expressed interest in continuing to provide music for the services, and maintaining an up-to-date roster.
d.     President: Diane Kirksey expressed her vision for the congregation. Her vision for 2020 is stated as follows: "I have a vision for our Fellowship— love is the most important piece of it; that we love one another, our family and friends, our place and our community. I have a vision that our Fellowship become known as a place of liberal religion in our community in Lafayette. I have a vision that our Fellowship lead in action and support of justice and religious freedom. I have a vision of our Fellowship leading with joy, dance, art, music and laughter."

She affirmed her duties as President and went over the duties for everyone on the executive committee. Hunter, Emily, Jackie and Bruce have voted in favor of committing to working on the board for 2020 and following these duties of “true communication”:
                                          i.      Be kind.
                                        ii.     Communicate until the task is done, and say you are done with your piece when you are done, so that others working with you don't continue to wait on input.
                                       iii.     Until the Fellowship has finalized official processes and channels of communication, make sure you are truly communicating. Give your preferred communication method so we don't post in Slack and never hear back.
                                       iv.     Affirmation of Commitment or Exception: Please opt out if you don't want to participate in something, again, so that the work doesn't wait on you when it could be completed.

V.             Adjournment
Diane Kirksey adjourned the meeting at 6:53 pm.

  2. Hi Emily, These two pieces of the meeting are important to have in the minutes, as I fear they are already not working and I want everyone to understand them.
    Covenant to true communication - a. Be kind b. Communicate until the task is done but say you are done with your piece when you are done. So others working with you don't continue to wait on input. c. We will be creating processes but until then make sure you are truly communicating. Give your preferred communication method so we don't post in Slack and never hear back.
