Executive Committee Meeting Minutes
Tuesday, August 4, 2020
I. Call to order
a) Hunter Miller called to order the executive committee meeting of the Unitarian Universalist Fellowship of Lafayette at 6:04 pm on Tuesday, August 4, 2020 via Zoom.
II. Roll call
a) The following persons were present: Emily Carline, Judi Hamilton, Hunter Miller, Kiera Frey, Bruce Snow, Scott Ferguson, and Bill Edwards.
III. Approval of minutes from last meeting
a) Minutes from June 2, 2020 were approved by Kiera Frey over email and seconded by Emily Carline. The motion carried.
b) Minutes from July 7, 2020 were approved by Hunter Miller and seconded by Bruce Snow. The motion carried.
IV. Treasurer’s report, August 2020

a) Hunter Miller moved to approve this Treasurer’s report, seconded by Judi Hamilton. The motion carried
V. Old business
a) Scott Ferguson has contacted Jackie about retaining the money she donated and has resolved the situation.
b) The board has reviewed the final Building Rental Documents.
1. Final prices have been set for Private, Non-Profit, and Member events.
i. Private Events: Entire Building ($100/hour), Sanctuary and Kitchen ($70/hour), Childcare Room ($35/hour)
ii. Non-Profit Events: Entire Building ($60/hour), Sanctuary and Kitchen ($40/hour), Childcare Room ($20/hour)
iii. Member Events: Entire Building ($20/hour), Sanctuary and Kitchen ($15/hour), Childcare Room ($5/hour)
2. Hunter Miller moved to accept this final version of the documents, seconded by Judi Hamilton. The motion carried.
c) The AA and Freethinkers groups is interested in using our building.
1. Hunter Miller made a motion to charge this group $160/month for use of the building on Wednesdays and Saturdays, from 6:00–7:00 PM, seconded by Judi Hamilton. The motion carried.
d) Morris Hoagland from the Unity Church has expressed interest in using our building for their services.
1. This has been tabled for later. Hunter will reach out to Morris to see if he is still interested.
2. Judi Hamilton made a motion to charge this group $80/month for use of the building twice a month, on Sunday from 11:00–12:00 PM, seconded by Kiera Frey. The motion carried.
e) How to do our mission and vision work in coordination with the congregation
1. Hunter Miller has volunteered to write up a mission and vision statement for the congregation. His first draft is as follows: "The Unitarian Universalist Fellowship of Lafayette provides spiritual growth through acts of community service, fellowship, and sacred ritual, supporting those who are lost, unorthodox, or freethinkers." He will continue to work on and refine this statement.
f) Status of changes to wording in bylaws and on the website
1. Judi Hamilton brought up some discrepancies in the By-Laws and on the Website. The term “religious community” should be replaced with “lay-led spiritual community”. The By-Laws have also used gendered language in the past, and should be updated to be more gender-inclusive.
2. Hunter Miller made a motion to make these minor changes to the bylaws. Seconded by Emily Carline. The motion carried.
VI. New business
a) The UUA Southern Region is holding a series of President Gatherings for Presidents, President-Elects, Past Presidents and Vice Presidents to create a community of learning and collaboration with each other and with Southern Region Staff. The cost is free for APF Honor Congregations (2019–2020).
1. Hunter Miller and Judi Hamilton expressed interest and plan on attending these gatherings.
b) Susan suggested picking other types of services based on the month’s theme. Example: Month of Creation— creating ditty bags for the homeless. This was met with agreement from the board, and we will ask people to come up with more ideas.
VII. Adjournment
a) Hunter Miller adjourned the meeting at 6:55 pm.

Action Items for August 2020:
· Hunter Miller will reach out to Morris Hoagland to see if he is still interested in renting our building.
· Hunter Miller will provide the AA and Freethinkers Group with the new building documents for their review.
· Hunter Miller will continue working on a final updated version of our mission statement.
· Emily Carline will make the minor changes to the Bylaws and submit the amended Bylaws to the records.
Typo – rental amount for private groups should be $100 per hour, not 10
